Privacy policy

How CHINATOUR.uk collects, uses and protects your personal data, and the rights you have under the UK GDPR.

Who we are

CHINATOUR.uk is the data controller for the personal data described in this policy. Our registered business address is set out in your booking confirmation and in our booking terms, and we will confirm it in writing on request.

This policy explains what we collect when you use chinatour.uk or ask us to plan a trip, why we collect it, how long we keep it and who else sees it.

What we collect

We collect only what we need to answer your enquiry and arrange a trip.

  • The details you give us: name, email address, phone or WhatsApp number, country, party size, travel dates, budget and any notes you add.
  • Trip details once you book: passport names and numbers, dates of birth, and any dietary or accessibility needs you choose to share.
  • Technical data: your IP address, browser type and the pages you visit, collected through our server logs and, where you agree, analytics cookies.

Why we collect it, and our lawful basis

Under the UK GDPR we must have a lawful basis for using your data. Ours are:

  • Contract. To prepare a quote, take a booking and deliver the trip you have asked for.
  • Legitimate interests. To answer enquiries, keep basic records and improve the site, in a way that does not override your rights.
  • Consent. For non-essential cookies and, if you opt in, our email newsletter. You can withdraw consent at any time.
  • Legal obligation. To keep accounting and tax records where the law requires it.

How long we keep it

Enquiries that do not become bookings are deleted after 24 months. Booking and financial records are kept for six years after the trip, to meet UK tax and accounting rules. Newsletter details are kept until you unsubscribe.

Who else sees your data

We share data only with the services that make the trip possible:

  • Our email service provider, which holds your enquiry so we can reply to it.
  • Hotels, airlines, rail operators and licensed guides in China, and only the details they need to deliver your booking.
  • Our accountant and, where required, HMRC.
  • We never sell your data, and we do not share it for advertising.

Sending data outside the UK

Yes — to arrange a trip, some of your data is transferred to China. Your booking details are shared with hotels, transport providers and guides there, so that the trip can run.

Where we transfer data outside the UK, we put safeguards in place, such as the UK International Data Transfer Agreement, and share only the minimum a supplier needs. We do not send your payment details to suppliers in China.

Your rights

Under the UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Ask us to correct data that is wrong or incomplete.
  • Ask us to delete your data, where we do not need to keep it.
  • Object to, or ask us to restrict, certain processing.
  • Withdraw consent at any time, where consent is our basis.
  • Complain about how we handle your data.

Cookies

We use a small number of cookies. Essential cookies keep the site working; analytics cookies, where you accept them, tell us which pages are read. You can change or withdraw your choice at any time — see the cookies page.
